r2r.CoAct is the business hub for B2B service providers, from web agencies to engineering firms, coaches, and IT service companies. Unlike a plain CRM or invoicing tool, the software unifies CRM, inquiries and quoting, contracts, invoicing, projects, a full email client with calendar, and a built-in AI assistant in a single application, fully DATEV-compatible. Every client case flows into one central file, from the first inbound email to the paid invoice, so nothing gets lost between tools. Built on .NET 8 with Clean Architecture, the software has been running in real internal operation at r2r.STUDIO since Q2 2026 and is being developed further there daily. In parallel, we are looking for industry partners to help prepare the external market launch and secure permanent alpha pricing.
The Challenge
Agencies and freelancers typically juggle four to six separate tools: a CRM for client contacts, accounting software for invoices, a project tool, a time-tracking app, and a separate email client that knows nothing about any of it. Every tool has its own costs, its own learning curve, and its own data silos that never quite join up. Open a client email and you see neither the running quote nor the open invoice, you have to look it up by hand. The result is data loss at the seams, duplicated effort, and several hours of administrative overhead every week that would be better spent on client projects. On top of that, growing compliance requirements such as the e-invoicing mandate under ZUGFeRD and XRechnung, DATEV export for accountants, and GDPR-compliant data management add further complexity. r2r.CoAct was built to solve exactly this problem: one system where mail, CRM, quote, contract, and invoice speak the same language.

How We Got There
The software was built with strict Clean Architecture on .NET 8 and WPF: a dedicated Domain layer for business logic, an Application layer with clearly defined service interfaces, an SQLite database for simple local installation with no server infrastructure. At its core sits a case-centric architecture: every contact starts as a lead, becomes a customer through clearly defined qualification stages, and every inquiry, quote, contract, and invoice hangs off the same case file instead of scattered individual records. On top of that a full email module was built that isn't bolted onto the CRM but anchored inside it: client emails automatically show the contact's timeline, referenced quote and invoice numbers are linked live, a follow-up banner flags open cases, an SLA timer shows how long a client inquiry has been waiting. Add to that a calendar with full ICS import/export, appointment conflict detection, and recurrence rules. Running across all modules is a built-in AI assistant with direct but guarded access to customer, mail, and calendar data: it answers cross-module questions, generates proactive morning briefings, flags stalling leads, and every write action requires manual user confirmation. Special attention was also paid to German compliance requirements: DATEV export in Buchungsstapel format, ZUGFeRD and XRechnung support for the e-invoicing mandate, and an automated dunning system with configurable reminder levels. The clean architecture also makes it straightforward to implement industry-specific customisations efficiently without touching the core of the system, that rebuild is currently running as its own dedicated architecture effort.

The Outcome
r2r.CoAct has been running in real internal operation at r2r.STUDIO since Q2 2026, no longer just a prototype. The full core workflow is built and used daily: inquiries arrive automatically from the website or by email, become quotes, turn into contracts with automatic project and calendar creation upon acceptance, and end up in the invoice with DATEV and ZUGFeRD export. The mail module with CRM context, the calendar with ICS support, and the built-in AI assistant are live and validated in daily use, not just designed on paper. Deliberately still open before the external launch: a licensing system, signed installers, automatic updates, and multi-user operation for teams, these are the next items on the list, not blockers for internal use. The cross-industry architecture, currently configured for web agencies and in preparation for law firms, engineering offices, and other industries, is largely in place but not yet proven with an external industry partner. That's exactly what we're now looking for the first alpha partners for. Following a successful market launch, a monthly subscription model is planned. Alpha partners actively shape the feature scope, contribute their industry expertise, and lock in alpha pricing for life. This is not a service agreement. It is a stake in the product from day one.
