Three payment gateways: Stripe, PayPal, and SEPA direct debit, all in one system, without separate monthly tool fees for every individual function.
The Challenge
Independent service providers typically juggle five to six separate tools: a booking system, a shop solution, an invoicing program, a dunning tool, a customer database, and an analytics dashboard, each with its own monthly costs, learning curve, and data loss at the seams. That burns hours every week that would be better spent with clients. Anyone who wants to scale doesn't need another tool. They need a system that grows with them.
How We Got There
Astro 5 with Node SSR delivers server-rendered pages without client overhead, for maximum load performance and SEO out of the box. Supabase handles the PostgreSQL database, authentication, and file storage with Row-Level Security: customers only ever see their own data. Three payment gateways cover every customer preference: Stripe (credit card), PayPal, and SEPA direct debit. Invoices are generated automatically on order confirmation (numbered RE-YYYY-NNN) and archived immutably for tax compliance; corrections follow the German Storno process (cancellation note ST + new invoice RE), preserving a full audit trail. Recurring invoices automate monthly, quarterly, or annual billing via scheduled cron jobs. The three-level dunning system dispatches payment reminders automatically by email, each containing a personalised payment link. Appointment no-show fees are invoiced automatically when attendance is marked as absent. Appointment reminders go out by email and SMS (Twilio) 24 hours before each session. The admin area unifies product management with stock controls, a complete order overview, a customer directory with internal notes and document uploads, real-time global search (Ctrl+K), and an analytics dashboard for revenue, order volume, appointment utilisation, and page views.

The Outcome
One platform replaces six individual tools, with no separate monthly SaaS fee for each one. Customers order, book, and manage their account entirely independently, including a guest checkout option without mandatory registration. Automated invoicing and three-level dunning eliminate hours of manual follow-up work. Tax-compliant Storno handling delivers audit-proof accounting, ready for the next tax inspection. Real-time analytics show revenue, capacity utilisation, and customer growth at a glance, so independent service providers can focus entirely on the work that matters.
